When you have someone’s email address but not their name, type the email first. Hire looks the address up in your synced mail and calendar invites and fills in the name the person goes by there, for example Alex Liu for "Alex Liu" <alex@client.vn>.

Steps

  1. Open Candidates or Contacts and select Add candidate or Add contact. On Candidates, the name cell offers Add from a CV first: choose the file and Flo reads it. To add by email instead, go on to the next step.
  2. Press Tab to move to the Email cell and type the address.
  3. The name cell fills in a moment later, in grey with from mail. For a work address, the company cell (Current company on Candidates) fills with the company at that domain, in grey with from domain. Press Tab through a grey value to keep it, or type over it.
  4. Fill in the rest of the row and press Enter. The row saves with the values it shows, grey ones included.
To type the name instead, start typing in the name cell. People already in Hire show with their email, so two people with one name are easy to tell apart. Add “Alex Liu” adds a new person with the name you typed. Hire only fills an empty name or company. A value you typed or chose is never replaced. If you change the email before keeping a grey value, the grey value is looked up again. Personal addresses such as Gmail fill no company. When the address isn’t in your mail or calendar, the name cell stays empty and you type it. The same lookup fills the name of a meeting guest’s People we found card, and when you ask Flo to add someone by email. Flo tells you the name came from your mail or calendar.

Where the name comes from

  • Your own mail, and mail a colleague linked to a job, application, target or placement.
  • Guests and organizers on your own calendars.
A colleague’s private mail never counts. Hire doesn’t guess a name from the part before the @, doesn’t buy names from a data provider, and skips names like Support or Recruitment Team. Colleagues and addresses on your agency’s own domain never get a name, because Hire keeps them off candidates and contacts. An address on your agency’s own domain is refused when you press Enter. The row keeps what you typed, and a note on the Email cell says why. Clear the email and press Enter again to save the row without it. Admins manage the domains in Settings › General › Agency email domains.

Choose the primary email or phone

A person can have several emails and phones. The first one listed is the primary: Hire writes to it, shows it in the Email column and sends CVs to it.
  1. On the candidate or contact, select Emails or Phone.
  2. Next to the one you want, select ⋯ › Set as primary.
Hire says Primary email set and lists it first.
