Flo learns how your agency works from the team. When you correct Flo, decline one of its changes with a reason, or tell it how you work, Flo remembers it and uses it next time. Each night Flo tidies what it knows. You see all of it in Settings › What Flo knows, and you can change or delete any of it. What Flo remembers changes its judgment: which value to fill, which column to pick, how to word a draft. It never changes what Flo may do. Approvals, roles and who can see what stay the same.

What Flo remembers

Only what you say or do teaches Flo. Text in a file, an email, a transcript or a web page never does, even when it says “remember”. A change to a Candidate’s or a Contact’s own details isn’t a memory: their record already holds it.

What Flo never remembers

Flo never remembers, filters or ranks by age, sex or gender, gender identity, sexual orientation, pregnancy, marital status, family or caregiving, race, ethnicity or colour, nationality, religion, political view, disability or health, genetic information or union activity. Choosing people on those grounds is unlawful discrimination in hiring in Vietnam, Singapore, the US and the EU. Ask for “men under 35” and Flo says so in one sentence and offers the lawful part, such as years of experience. Genuine job requirements are fine: a work permit, a licence, a location, a language the job uses, years of experience. “Shopee needs a valid Vietnamese work permit” is remembered.

When Flo uses a memory

Each time you ask Flo something, it reads what applies to the page you’re on: what you told it, the agency’s, and the Company’s and the Job’s when one is open. When it follows one, it says so: “Fee 18%: Tri’s correction on 15 Oct”. A memory about only you is yours alone. Nobody else sees it, and Flo uses it only in your chats.

How Flo tidies what it knows

Each night Flo goes over what it learned:
  • It merges notes that say the same thing into one.
  • When two disagree, it keeps the newer one and the older one goes, with the reason.
  • When three or more Companies or Jobs show the same habit, such as “send CVs before 10am”, it makes one note for the whole agency.
  • It retires notes that no longer hold: a Company or Job that was archived, a Job filled or lost 90 days ago, and anything Flo hasn’t used for 180 days. It keeps the 500 it used most recently.
Retired notes are deleted 30 days later.

Change or delete a memory

  1. Open Settings › What Flo knows.
  2. Pick All, Agency, Companies, Jobs or Mine.
  3. Select Edit to change a note’s words, or Delete to remove it. A deleted note is gone at once, with its history.
You can change your own notes and the ones you made. Owners and Admins can change the agency’s, a Company’s and a Job’s, and a Job’s owner can change that Job’s. You can also ask Flo: “Forget that Shopee wants PDFs.”
Settings, What Flo knows: tabs All, Agency, Companies, Jobs and Mine above a table of memories with Memory, For and Source columns

What Flo knows lists each memory, who it came from and when.

The dream log

Under the memories, Dream log shows each night Flo tidied, with what it merged, kept, linked, made agency-wide and retired, and why. It keeps 90 days.

Turn learning off

Owners and Admins turn Flo learns from the team off at the top of the page. Flo then stops remembering. What it already knows stays until you delete it.
